Position Summary
The Program & Events Coordinator plays a critical role in supporting the success of Achilles International’s NYC Metro Region through the planning, coordination, and execution of workouts, races, multi-sport events, and community engagement initiatives. This position serves as a key operational leader responsible for ensuring a seamless experience for athletes, guides, volunteers, and community partners.
Working closely with the Director of NYC Metro, Adaptive Cycling leadership, Borough Managers, and volunteers, the coordinator will oversee designated workouts, races, and special events from planning through execution. This includes athlete and guide coordination, volunteer communications, race logistics, participant support, administrative management, and event-day leadership.
A significant focus of this role will be supporting and coordinating TriAchilles multi-sport programming, including triathlons, cycling events, and other adaptive sports opportunities.
The ideal candidate is highly organized, community-focused, and passionate about creating inclusive athletic experiences for individuals with disabilities. This role requires a balance of event management, relationship-building, administrative excellence, and hands-on operational support.

Key Responsibilities:
Event & Program Leadership
- Serve as the lead coordinator for assigned workouts, races, and special events, overseeing planning, communications, logistics, and event-day execution.
- Coordinate athlete, guide, volunteer, and staff participation for designated races and workouts.
- Lead operational planning for TriAchilles programming, including adaptive cycling and multi-sport events.
- Ensure all event materials, equipment, and participant resources are prepared and available for successful event execution.
- Provide on-site leadership during races, workouts, and community events, troubleshooting issues and ensuring a positive participant experience.
- Collaborate with event organizers and race directors to establish and manage Achilles “Mother Ship” locations at key races and events, serving as centralized gathering, support, and communication hubs for athletes, guides, volunteers, and families.
Community Engagement & Communications
- Manage chapter communications through email, Rosterfy, WhatsApp, and other communication platforms.
- Serve as a primary point of contact for athletes, volunteers, guides, and prospective participants.
- Communicate workout schedules, race information, volunteer opportunities, and program updates in a timely and professional manner.
- Foster a welcoming, inclusive, and supportive community environment across all NYC Metro programs.
Registration & Participant Support
- Assist athletes and guides with registration for workouts, races, and special events.
- Maintain accurate participant rosters and event records.
- Coordinate athlete-guide matching and race assignments when applicable.
- Support onboarding and engagement of new athletes, volunteers, and guides.
Administrative & Operational Support
- Manage and maintain event calendars, registration records, participant databases, and administrative documentation.
- Process, track, and reconcile NYC Metro chapter expenses in accordance with organizational policies.
- Assist with budget tracking and event-related financial reporting.
- Support operational planning and administrative needs across all NYC Metro programs.
- Prepare reports, attendance records, and other program-related documentation as requested.
Organizational Representation
- Represent Achilles International professionally at community events, races, partner meetings, and public engagements.
- Promote the mission, vision, and values of Achilles International through all interactions and activities.

Qualifications:
- Experience in community fundraising, peer-to-peer fundraising, or nonprofit development, preferably within a mission-driven organization.
- Strong relationship management skills with the ability to engage diverse stakeholders, including race partners, volunteers, and donors.
- Highly organized with the ability to manage multiple projects, deadlines, and platforms simultaneously.
- Comfortable working with fundraising and registration tools, CRM systems, and digital communication platforms.
- Familiarity with race management platforms, registration systems, volunteer management software, and participant databases.
- Excellent written and verbal communication skills.
- Willingness and ability to occasionally work evenings and weekends for partner events and race weekends.
Work Schedule:
This position requires a flexible schedule that includes evening and weekend workouts, races, community events, and periodic office hours during the workweek. The schedule will vary based on program and event needs.
Physical & Travel Requirements:
- Ability to lift and transport event materials and equipment weighing up to 40 pounds.
- Ability to stand, walk, and remain active for extended periods during workouts, races, and community events.
- Ability to travel throughout the New York City metropolitan area to support workouts, races, meetings, and special events.
- Must possess a valid driver’s license and maintain the ability to drive organizational vehicles or personal vehicles for work-related activities, when necessary.
- Occasional travel outside the NYC Metro Region may be required to support organizational initiatives and special events.
