Position Summary:
The Client Services Manager serves as the main point of contact between MarathonFoto and its race event clients. This role focuses on building strong relationships with event organizers, ensuring flawless execution of photography services, and delivering exceptional customer satisfaction. The position requires excellent communication skills, problem-solving abilities, and a passion for sports and events. This position runs for 60 days from the start date.
Key Responsibilities
· To verify and maintain an updated calendar of race dates and start times in event management databases.
Serve as the primary liaison with race directors, marketing teams, and event staff before, during, and after events.
· To hold clients and MarathonFoto accountable for contractual obligations.
· Manage client timelines for exchange of information, including pre-race and post-race.
· Hold client accountable to internal timelines and deadlines.
Ensure all client requirements, deliverables, and deadlines are met.
Schedule and lead client calls/meetings when needed, creating meeting agendas, and providing notes to the team.
· Collect all pertinent event information and communicate it in a timely manner to appropriate individuals. Examples include marketing assets, runner data, bib designs, etc.
· Coordinate pre-event and post-event runner data with event organizers and upload that data into event management database.
· Working with clients to create and share best practices that enhance the athlete’s experience.
· Work with clients on best practices of creating social impressions.
· Setup product offerings in database, including app routes.
· Provide access to client portal platform.
· Communicate post-event delivery timelines and provide follow-up support.
· Calculate sponsorship payments and communicate sales recaps.
· Provide invoicing to sponsored image clients and communicate due dates.
· Manage promo and public relations photos for clients.
· Create and update working service agreements for clients.
· Work alongside the team on rebooking clients.
Assist with on-site event support when necessary, including race-day setup and client coordination.
Gather client feedback and identify opportunities for service improvement.
Skills Required:
· Must be detail oriented.
· Must have good organizational and time management skills.
· Must have basic knowledge of client account management
· Must have basic event management knowledge
· Mastery of the full set of Windows Office Operating systems
· Ability to set up a home office space with internet access
· A college degree of BS or BA or higher preferred or equivalent work experience
· This IS NOT A SALES POSITION and does not involve sales.
· Maintain superior client relations, by aligning photography team with client’s goals and objectives
· Maintaining clear and constant communication with various teams, internal and external in the organization.
· Must be able to communicate clearly and effectively with clients.
· Must be able to communicate client and customer needs to ensure successful events.
· Ability to analyze reports and data.
· Flexibility in taking on additional tasks as needed.
· Maintain open communication between yourself and your direct supervisor through email, text message and phone.
· Uphold and represent the core values as well as company policies and procedures of In Front Media & Sports, Inc.
· Must be flexible to work outside of the normal “traditional office hours”.
Preferred Qualities
Passion for sports, endurance events, or photography.
Experience in client services, event management.
Knowledge of event photography workflows.
Project Management experience is a plus.
Work Environment
This role includes both office-based and on-site work at race locations. Flexible hours, including early mornings and weekends, may be required during event season.
