About the Role:
This full-time hourly position supports the day-to-day execution of all Racing Systems events, including Run Project branded events and client events, through race operations, warehouse organization, equipment preparation, packet pickup, retail support, and community engagement. The Events Coordinator works closely with the Race Direction team to help deliver high-quality event experiences through supporting logistics both in the office and on-site. This role offers opportunities for growth and advancement within event production and endurance sports management.
This role is ideal for someone who enjoys being part of a fast-moving team environment and wants to grow within the event and endurance sports industry.
Responsibilities:
Event & Race Operations
● Assist with setup and breakdown of event venues, expos, courses, and community activations
● Support the Race Direction team with pre- event logistics , including permits ,course preparation and , load lists
● Support with race-day logistics and operational execution
● Support outdoor event build-outs including tents, signage, barricades, tables, chairs, and race infrastructure
● Load and unload race equipment, supplies, and vehicles
● Support volunteer check-in and race kit distribution as needed
Warehouse & Equipment Management
● Organize and maintain warehouse equipment and supplies
● Test equipment and assist with routine maintenance
● Clean and maintain race equipment including tables, chairs, signs, cones, tents, and branded materials
● Execute load lists and ensure race inventory is organized and event-ready
● Assist with fleet readiness and vehicle loading for race weekends
Packet Pickup & Runner Experience
● Prepare race shirts, bibs, medals, and participant materials
● Assist with packet pickup operations before events when needed
● Organize venue supplies and race kits for upcoming events
● Support customer service and participant interactions during race weekends
Retail & Merchandise Support
● Organize and inventory retail merchandise
● Prepare retail bins and supplies for events
● Assist with setup and operation of the Run Project retail tent on race days
● Help maintain visual presentation and inventory tracking
Sponsorship & Community Engagement
● Assist with sponsor deliverables and activation setup
● Assist with sponsor communication and activation preparation leading up to events
Qualifications and Skills:
● Passion for running, endurance sports, fitness, or community events
● Ability to lift and move up to 50 lbs
● Clean driving record with valid driver’s license and current auto insurance
● Comfortable driving company vehicles and towing trailers
● Availability to work early mornings, evenings, and some weekends
● Comfortable working outdoors in varying weather conditions
● Strong organizational and communication skills
● Ability to work independently, stay organized, and perform in fast-paced event environments
● Basic computer and administrative skills required
● Experience with Google Workspace and Asana is a plus
