About the Department

The Event Development and Production department develops and produces NYRR events from concept all the way through execution in alignment with NYRR’s mission. The TCS New York City Marathon, United Airlines NYC Half and the Royal Bank of Canada Brooklyn Half are just a few of the 40+ adult events and 30+ Rising New York Road Runner youth events produced by the team each year. The team is responsible for core elements of the operations including physical site management, timing and scoring operations, volunteer management, hospitality and special events, safety and security, management of our warehouse and all race collateral, city and state agency relationship management, and permitting. The Volunteer Operations team mobilizes volunteers to make the mission visible to the city of New York by delivering the highest-quality events year-round. The team works cross functionally to meet the needs of the program participants and external partners to contribute towards the well-being of the community.

About the Position

This position will report to the Head of Volunteer Operations and manage the overall recruitment, education, engagement, and retention of the 26,000 volunteers annually at all 50 plus New York Road Runner races and  community events.

Job Responsibilities (primary and secondary duties):

Work with senior management on setting strategy, goals, and tactics for the Volunteer Operations Team.

Manage four full-time staff, one part time staff and one intern and encourage professional development, and facilitate professional growth.

Devise the overall recruitment, training, deployment, and recognition strategy for over 26,000 volunteers annually, work within the organization to meet the needs of the mission while facilitating a positive volunteer experience.

Manage all volunteer programs designs, including the volunteer leader program, group leader program, 9+1 program, and Global Volunteer Month activations.

Manage the year-round volunteer budget and budgets for marquee events that pertain to volunteer incentives and supplies.

Oversee volunteer recruitment efforts for Open Run programing needs and partner with the Community Impact team.

Collaborate with other NYRR departments, such as Business Development and Strategic Partnerships, Runner Products and Services, etc., that may need volunteer support during events.

Serve as the main point of contact for the Legal team regarding volunteer requirements and processes in relation to risk mitigation.

Collaborate with the Business Marketing and Communications Team on all volunteer communication campaigns online, email, in print, and at the NYRR RUNCENTER.

Supervisory Duties and Responsibilities:

  • Effectively manage employee performance through communication of expectations and standards
  • Prepare performance appraisals. Work with next level management (directors or department head as applicable) when employee performance does not meet standards
  • Provide effective feedback and coaching to employees, including potential areas of improvement
  • Create goals for the team and individual employees
  • Encourage an environment of transparency, support, development, and growth
  • Delegate and distribute tasks and responsibilities appropriately
  • Ensure employees and staff adhere to company policies and procedures
  • Make decisions based on best interest of organization
  • Collaborate with Human Resources as support
  • Promote team culture that coincides with NYRR mission and core values

Job Requirements:

Experience:

5+  years work experience in the nonprofit or events sector.

3+  years volunteer management work experience.

2 + years experience managing a team.

Experience with developing and managing large budgets.

Education & Certifications:

Bachelor’s degree from an accredited college, sports business, management, or community engagement background preferred.

Skills and Attributes:

Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook, Teams)

Knowledge of good practice in volunteer management

Strong project management, organizational and logistical planning skills

Self-motivated, highly organized, detail oriented, and timeline focused attitude

Must have strong leadership and management skills and the ability to work effectively in a collaborative team environment

Ability to relate to and work with diverse populations is essential, as are a positive attitude and a customer service approach with strong conflict resolution and professional communication skills.

Ability to exercise discretion, maintain confidentiality of sensitive information, and exhibit professionalism always.

Exceptional written and verbal communications skills.

Ease with public speaking and facilitation to represent NYRR at various volunteer related functions.

Resourceful strategic thinker with the ability to meet and perform under tight deadlines, think clearly under pressure, and exercise good judgment.

Ability to handle conflict resolution with professional communication and tact.

Other Requirements:

Willingness to travel, work various weekends, and extended hours as needed.

CPR/AED and First Aid Certification a plus.

Bilingual a plus

Ability to lift up to 25lbs.

Salary: 93K
