Position Summary

Blistering Pace Race Management is a full-service race management company based in Northern California.

Established in 2016 and rapidly expanding, we work with clients which include the Pamakid Runners (San Francisco Half Marathon), Napa Valley Marathon, Inc. (Napa Valley Marathon and Half Marathon), the Big Sur Marathon Foundation (Big Sur International Marathon and Monterey Bay Half Marathon), and Stronger Faster Boulder Co (Boulderthon). Our scope of work varies by event, but for most clients our scope entails full management.

Under the general supervision of the BPRM Director of Operations, the Operations Manager is responsible for many race operational elements, including various permits, management of vendor relationships, and event staff oversight. This is a full-time position that involves considerable out-of-office work.

Job Functions

Assist with Permit and Stakeholder Relationships (20 percent):

Works with Director of Operations to maintain regular communications with stakeholders, cities, counties, and permitting agencies, ensuring healthy, thriving relationships with client organizations while delivering safe, efficient, timely, and organized event operations.

● Performs timely, ongoing, and consistent communications to maintain solid relationships, keeping the client organization top-of-mind, effecting a long-lasting partnership from stakeholders.

● Provides/creates any documentation, maps, diagrams, etc. needed for event to include but not limited to

○ Permit applications and approval

○ Venue Layout/Management

○ Vendor lists and details

○ Event timelines

● Utilizes phone, written communications, emails, in person visits, etc., as often as needed for follow-ups and responding to requests for more information and gaining event approvals.

Event Operational Management (40 percent):

Manages operational function of the event including participant numbers and flow, start, finish, general supplies, and staff and key captain roles.

• Pre-event planning for operational success in the following areas but not limited to:

o Portable toilets, quantity, locations/placement

o Venue management, supplies, locations

o Movement of supplies, quantities, trucks, load lists

o Event timelines

o Staff and crew prep calls, walkthroughs, and punchlists

• Oversees on-site event execution

o Oversees general event set-up

o Directs staff, key captains, and volunteers

o Manages vendors and crews

• Works with Sponsorship Manager and/or Director of Marketing to plan any activations with sponsors (and vendors); brainstorming meetings; confirming operational viability

• Solves unexpected problems that come-up or facilitates in locating resources for solutions

Vendor Management (40 percent):

Manages event vendors for each event, including ordering, on-site drop off and pick up, and payment.

● Plans vendor needs for each event in the following categories:

○ Barricade and Truss

○ Party Rentals – quantity, locations/placement

○ Equipment Rentals (power, generators, forklifts, carts, light towers, etc)

○ Portable Infrastructure

○ Security – quantity, shift times and locations

○ Venue water and ice orders

○ Participant food orders

○ Heat Sheets

○ Sound

○ E-Bike Rentals and Bike Valet

○ Bleachers

• For assigned vendors, responsibilities include:

○ Ordering

○ Scheduling supply drop off and pick up, providing location details

○ On-site liaison

○ Oversee Invoice/Payment/Reimbursement

○ Post-event budget reporting to Director of Operations

Position Essential Requirements

● Minimum of 3 – 5 years of experience with race operations

● Can work with a wide variety of people

● Project and Program Management experience

● Excellent written and verbal communication skills

● Excellent organization and time management skills; high attention to detail, assertiveness, diplomatic skills, and a proactive approach to work and problem solving

● Excellent at problem solving and analytical with advanced math skills

● Able to work independently in a rapidly changing, fast-paced, results-oriented environment or manage teams

● High level of professionalism essential for interaction with internal and external customers, cross-functional teams, and management

Computer Skills:

Proficient in MS Office, Google Docs, Adobe Suite, and Cloud-based computing. Has aptitude for creating efficiency with digital solutions.

The employee must occasionally lift or move up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
